Microsoft Teams Premium is an add-on license that most users and admins may be unaware of. When looking at Teams Premium, there are features that focus on branding, AI (Intelligent Recap) and meeting templates. One of the more useful features is on demand Virtual Appointments. You may have experienced these within healthcare over the past few years, but this is where a consumer requests help, they are placed in a queue and then a meeting is started.
Technology has been the driving force behind the shift to Virtual Appointments. With advancements in video conferencing, cloud computing, and artificial intelligence, platforms like Teams Premium are equipped to deliver a seamless experience. One of the most significant benefits of Virtual Appointments is the boost in productivity. By eliminating the need for travel and reducing the time spent in traditional meetings, organizations can operate more efficiently.
The Virtual Appointments app in Microsoft Teams creates an end-to-end experience that lets organizations easily manage customer appointments, integrating schedules, analytics, and management options, all in a single app.

Microsoft Bookings is the tool behind Virtual Appointments. It allows businesses to manage customer Appointments with ease, offering a customizable and user-friendly interface that integrates seamlessly with Microsoft Teams and other Microsoft 365 applications. Microsoft Bookings simplifies the scheduling process for both the business and the customer. Customers can book Appointments online 24/7, choose the service they need, and select the staff member they want to meet with from any device. The service automatically sends confirmation emails and reminders, reducing no-shows and ensuring that both parties are well-informed.
For businesses, Microsoft Bookings offers scheduling capabilities. It handles all aspects of appointment management, including rescheduling, cancellations, and real-time availability. Integrates with Outlook to sync calendars, ensuring that Appointments do not conflict with other commitments. This level of integration helps organizations operate more efficiently by automating administrative tasks and allowing them to focus more on delivering quality services to their customers. Microsoft Bookings is needed behind the scenes to power Virtual Appointments.
Customer Scheduling and Joining
When navigating to the scheduling page, we have the ability to pre-schedule our meeting or select Meet Now. With virtual Appointments, we want to Meet Now.

Upon selecting the correct option, I am able to get added to the queue for assistance.

Since not all requesters will have Microsoft Teams installed, they have the option to join from the browser.

Users may need to allow the microphone and camera for the meeting.


Upon setting up my preferences, I am placed in a Meeting Lobby or Queue waiting. When the meeting is accepted, I will be placed into a Microsoft Teams Meeting.
Staff View
Now that we have seen the experience from a consumer scheduling a meeting on-demand, lets look at the experience of the Staff who are waiting for members or customers to join the queue.
The Virtual Appointments app can be added to the users left rail within Microsoft Teams. This application includes a few items, Schedule, Queue, Analytics and Manage. The items (Queue & Analytics) with the diamond signifies that these items are Teams Premium features.

When there is someone in the waiting room, the staff who are assigned will receive a toast notification from the Teams application.

The staff member would navigate to the Virtual Appointments app within Teams and see the queue. Notice that Service, Name (of customer) and Status with waiting time is visible. This would allow staff to select the service or customer they would like to meet with.

Upon selecting Join, I am able to quickly join that Microsoft Teams meeting.
From a supervisor’s role, often they would like to monitor what staff member is meeting with the customers, how long the appointment running as well as potentially join or drop in. This allows other staff members to Join an appointment that is ongoing.

Where do Virtual Appointments belong?
In the example above, Financial Services was highlighted, however these can be for any business and any scenario. For example, in Retail these could be used to showcase high value products or provide technical advice. Within Human Resources these could be used for on demand interviews or a waiting room for applicants.
To expand on the practical application of Teams Premium’s Virtual Appointments, let’s consider a credit union. By leveraging Teams Premium, the credit union can enhance its services and improve efficiency. Lenders had to travel to different branches for meetings, leading to inefficiencies and increased costs.
